Privacy Policy

GDPR Statement

We are committed to ensuring that your privacy is protected and strictly adhere to the provisions of the Data Protection Act 2018, any national implementing laws, regulations and secondary legislation as amended or updated from time to time in the UK, and any successor legislation to GDPR and the Privacy and Electronic Communications Regulations 2003 (Data Protection Legislation).

Your Privacy

We take your privacy seriously.  In this Privacy Policy we have provided information on when and why we collect your personal information and how we use it.

School Information

When a school contacts us to provide assessment for access arrangements, we collect a range of information on examination candidates from the school SENCO, to enable us to fulfil that service provision.  For each candidate, this comprises Section 1 of JCQ (The Joint Council for Qualifications) Form 8, which may include any of the following information:

  • Name, date of birth and candidate number.
  • A profile which may include: the results of routine tests, previous specialist assessments, support plans in place for the candidate, school reports,  information reported by subject teachers and support staff.
  • Linguistic history.
  • History of learning difficulties.
  • How the candidate's difficulty currently impacts teaching and learning.
  • Details of current 'normal way of working', which means the 'additional to or different from' support and adjustments normally given in the classroom and in written tests, assessments and examinations.
  • The access arrangements requested.

We collect this information electronically, to plan and provide the assessments for access arrangements that the SENCO has requested.  When we have assessed a candidate, the record of that assessment is made electronically, on Section 2 of  JCQ Form 8 and returned to the SENCO.

Form 8 is then kept securely stored by the school, along with the additional evidence that the school has collected of a candidate's 'normal way of working'.

When this evidence requirement is complete, the school may then make a secure online application for an award of access arrangements in examinations, to JCQ or the awarding bodies; whose decision is final.

14 days after our visit to a school, all information regarding test candidates is either returned to the school to be kept securely, or safely destroyed.  After 14 days, no information on a school or a school's examination candidates is ever stored or shared by us, except by express, written direction from the school SENCO or Head of Centre; or as required by law.

This data policy was created on 25th May, 2018 and is annually reviewed on 6th April each year.
